ALL SPORTS - How to confirm your game(s) as a Coach

This is an essential and REQUIRED process to ensure the date, time, opponent and location name/address are correct. Games can only be confirmed 6 days prior and to the hour that the game is scheduled for; 144 hours.
The action of confirming games can only be performed by a board member. The board member can be a coach, assistant coach, AD, the tech person for the team, etc. but this person MUST be knowledgeable of the schedule and any changes as it is your responsibility (the team) to confirm what QwikCut has is correct.  Whomever the designated person is to be the Point of Contact (POC) for the season, we will need:
  1. First and last name
  2. Cell phone number
  3. Email address that is accessible
We will then enter this into the platform which will send the POC an email to create an account/sign in. If the POC is listed on multiple accounts as a coach, they will need to pay close attention when they are toggling between accounts as the board member is the only person able to confirm games.

******CURRENTLY, GAMES CAN ONLY BE CONFIRMED VIA THE MOBILE APP******

Refunds will only be issued in the event it is an error on QwikCut's side. The team will still be charged for filming to cover the cost of the camera operator:
  1. Last minute cancelation after our camera operator has arrived to the field (*our policy states camera operators must arrive 45 minutes prior to the sport starting, no matter the level)
  2. Last minute cancelation due to inclement weather before the end of the 1st quarter
  3. Last minute field change that QwikCut was not made aware of
    1. We do not follow Facebook, Twitter, MaxPreps, TourneyMachine, etc. for updates. If there is ANY type of change, it is the coach, AD, POC's responsibility to notify QwikCut.
If there are cancelations, please inform QwikCut as soon are you are made aware of the cancelation. If it is last minute field change or cancelation, please notify QwikCut at minimum 2 to 3 hours prior so we can advise our camera operator. The reason for this is many camera operators have one or two other jobs outside of QwikCut that they do take time off from/leave work early in order to film as well as drive 30 to 60 minutes to the field/school. They also are required to arrive 45 minutes prior to the game starting to set up equipment. We do our best to give them as much notice in the event of cancelations or changes.

Once a game is scheduled, you will receive an email notification to the email that is associated with your account, as well as a notification from the QwikCut mobile app:



To view and confirm the information, open your mobile app and ensure that you are in the correct account, as a BOARD MEMBER!
You can easily toggle between accounts by clicking Change Team/Season:
     


Once you have confirmed that you are in your board member account, you will see a black number in a white circle in the top right corner (which are notifications); click on the number:
  1. If you do not see a number, try refreshing the screen by dragging your finger in a downward motion and releasing. A buffering circle may appear and the games will slide back to the top and now show a number within that white circle.



Your notification screen will appear and show your games. Games with an orange box around them that are scheduled waiting to be confirmed, ones with a green box have already been confirmed and will show 'Game Confirmed' in the bottom right corner. The information you must confirm is correct is listed below:
  1. Opponent
  2. Date
  3. Time
  4. Field name
  5. Field address



Once you confirm everything is correct, click confirm game. A pop up box will appear with a second confirmation:
     


Once you have confirmed the game, the box around the game will appear green and in green text will appear 'Game Confirmed.' No further action is required on your end:




If there is an error, cancelation, etc. click 'Edit Game':



By clicking edit, you can call us to notify or email us with the changes to be made: 
  1. Call Us: our phone number will appear at the bottom of the screen; (407) 768-2011
  2. Email Us: will automatically put the game ID and the opponent in the subject of the email for our customer support team to easily locate the game.
